B2. Creating and setting up your new practice environment
To prepare for your transition, you'll need to take a few steps. Please ensure all steps are completed at least one week before the transition date. If a step isn't immediately clear, be sure to click the link to the corresponding knowledge base article or contact us directly using the built-in chat function. You can open the chat by clicking the blue chat bubble above your profile picture.
Make sure to thoroughly review the data migration document—you'll find a complete overview of what is and is not transferred there. You can access the data document via the following link: A3. Your data during the transition: what's included and what's not?
Enter the name of your practice and choose an email address and password. The email address and password you choose will be the login credentials for the practice owner. You can change this later.
Click [Continue] and then enter the code you'll receive at the email address you provided.
Enter your phone number and click [Continue]. You'll receive a text message with a verification code. Enter the code.
Accept the terms of use and click [Continue].
Enter your first and last name and click [Continue].
Select the correct country. The currency and date format will adjust automatically. Then, click [Continue].
Choose the main discipline of the practice. You can adjust this for each colleague later.
Finally, click [Start trial period] to create the practice environment.
Click the gear icon [Settings] > [Diary] > [View].
Choose your calendar grid layout. The calendar grid is divided into rows based on the selected minutes.
If you work with 30 and 45-minute treatments, set the grid to 15-minute intervals to ensure everything is neatly aligned.
If you work with 20 and 40-minute treatments, choose a 10-minute or 20-minute interval. This setting is crucial for correctly creating your time slots in step 4.
Click the gear icon [Settings] > [Diary] > [Schedules].
Recreate the schedule you currently use on your present system.

Do not create a practice schedule. When your account is created, the system automatically provides a personal time slot schedule. Just click the pencil icon [Change schedule] to adjust your schedule.
Click on your profile picture, then go to [My account] > [Colleagues].
Click [Invite new colleague]. Fill in the first name, last name, and email address, and then choose the correct role.
If the account you are inviting is intended as a front desk or reception account, check the box [Add this colleague to Frontdesk subscription]. A front desk account has limited permissions and no physical calendar, so you won't see this account in the list of therapists or on the online booking page, for example. This can be changed later at any time.
Select the correct specialization.
You can ignore the subscription plan for now. This will be set during the kick-off meeting.
Finally, click [Invite and add colleagues] to send the invitation.
Invited colleagues will receive the invitation by email. The activation link is valid for only 24 hours. If they do not activate the account in time, you will have to resend the invitation.
Step 6: Repeat step 2 and step 4 for your colleagues
Once the invited accounts have been activated, the new users will also need to fully complete their personal profiles and create a time slot schedule as described in steps 2 and 4.
