A3. Your data during the transition: what's included and what's not?

During the transition to Crossuite QI, we automatically include a large part of your practice data, such as patient information, documents, appointments, and financial data. However, some data is not migrated, such as certain templates, emails, or fully booked days.

The overview below shows which data will be migrated and what you may need to add yourself to your new practice environment. This way, you'll know exactly what to expect.

Which data is transferred to the new practice environment on Crossuite QI?

Appointments and treatments

  1. All (registered) appointments, treatments, and daily notes. Recurring appointments older than 2 years will not be migrated.

Appointments types

  1. All (deleted/inactive) appointment types used for scheduling appointments.

Invoice templates

  1. All templates you have actively used for invoicing within the last 4 months.

Finances

  1. All financial data for the practice, such as created invoices, payments, certificates, collective statements, etc.

Patients

  1. The entire patient database, including all patient information.

Alert

Contacts such as doctors with a valid AGB code or RIZIV number and insurers with a valid identification number will be migrated.

Patient photos are not transferred by default. If you would like to include patient photos, please let us know in advance by replying to one of the transition emails. This will also be addressed again during the kick-off meeting.

Documents

  1. All documents uploaded for patients and in the practice.

Forms and treatment notes (Protocols)

  1. All notes from all your consultations. All (completed) protocols such as anamnesis, questionnaires, etc.

Alert
Forms that are migrated, such as anamneses or questionnaires, will be read-only and cannot be edited. However, you will still be able to edit your treatment notes.


Prescriptions and periods

  1. All prescriptions and linked periods for patients.

Which data will you still need to supplement or will not be transferred?

Send emails

  1. The emails you sent on Legacy and can be found in your inbox will not be transferred.

Fully booked days

  1. The days you marked as fully booked by using the red 'V' (indicated by a red line across your day) will not be transferred. You can add these back for the date of the migration when setting up your practice environment.

Patients on the waiting list

  1. The waiting list has been completely redesigned and expanded with additional functionalities. Because the waiting list is entirely new, we cannot transfer the current data one-to-one to the new waiting list.

Patient photos

  1. Patient photos are not transferred by default. If you would like to include patient photos, please mention this in advance by replying to one of the transition emails. This will also be brought up again during the kick-off meeting.

Integrations

  1. Integrations you made on Legacy, such as COV-control (Vecozo), MyCareNet-check (eHealth), or online payment systems, will need to be set up again on Crossuite QI.

Open online bookings

  1. Online bookings that have not been confirmed or rejected will not be transferred to the new system. Therefore, please ensure all open bookings have been processed.

Document templates

  1. Document templates such as reports to the doctor, absence certificates, etc., will not be transferred. The new system provides system templates for these.

Email templates

  1. Email templates from the previous practice will not be transferred. The new system provides email templates for every action. These templates are easy to customize with the new editor.

Care Team Contacts without an AGB code or RIZIV number

  1. Only doctors with a valid AGB code or RIZIV number will be transferred. Self-created contacts without these codes will not be migrated.

Recurring Appointments older than 2 years

  1. Recurring appointments older than 2 years will not be transferred. An example of this would be a recurring break appointment you created more than 2 years ago.
